Setting Up Shared Mailboxes

Shared mailboxes are email accounts that are associated to a department, team, or special-use case. People can read emails sent to them, and send messages as that email account. These accounts are not tied to any one person and can be

To access, read, and send email from a shared mailbox, follow the steps below. These instructions can be used to set up most email programs, including Mac Mail, iOS Mail (iPhone/iPad), and Android Email. Outlook on PC will auto-configure shared mailboxes. Outlook on Mac require separate instructions. Please reach out to IT support for more information.

REMOVE ANY PREVIOUS GOOGLE ACCOUNTS FIRST


IMAP/OTHER ACCOUNT
Instead of selecting Exchange, you must select “IMAP” or “Other” category.

OPTIONAL: MAIL ACCOUNT
If asked what kind of account, select “Add a Mail account” or any option with the word “IMAP.”

FIRST SET OF QUESTIONS
When you are asked to enter an email account, enter in the shared mailbox address and password.

You will get an error and asked for additional information. This is expected and can find the information on the next column

ADDITIONAL INFORMATION
When you are prompted on a separate page, enter the following:

  • Email: Complete shared email address
  • Username: Complete shared email address
  • Password: Provided mailbox password

IMAP/INCOMING SERVER
Depending on the software you are setting up, you will be prompted for some or all of the following:

  • Server/Address: outlook.office365.com
  • Port: 993
  • Security: SSL

SMTP/OUTGOING SERVER
Depending on the software you are setting up, you will be prompted for some or all of the following:

  • Server/Address: outlook.office365.com
  • Port: 587
  • Security: TLS
